Order Medication in an Encounter

  1. Enter the medication name in the search bar and select the appropriate result.

  2. Complete the Dose, Frequency, Quantity, and Method fields.

Instructions auto-populate based on the Dose, Frequency, Quantity, and Method. If you have a Default SIG configured for the medication in your product settings, the Default SIG instructions will override the system-generated instructions. Auto-populated instructions can still be edited.

  1. (Optional) The Provider field auto-populates with the assigned provider of the encounter. Edit this field as needed.

  2. (Optional) If this medication includes refills, enter the amount in Refills and the Refill by Date.

  3. Select the Fulfillment Source or Lot Number.

The Fulfillment Source and Lot Number fields help you update your inventory counts based on order activity.

By default, Fulfillment Source displays and is optional.

The Lot Number field displays when the product type setting Has Lot Number is set to Yes. If your practice uses lot numbers, we strongly recommend selecting a lot number in this field for accurate inventory tracking.

  1. (Optional) Use the Additional Notes section to add information for other staff. Additional Notes are not included in the encounter PDF or on the printed prescription label.

  2. Select Prescribe to save the medication to the encounter orders and invoice.

Additional options display when prescribing a medication in an encounter:

  • Delete: Select to remove the medication from the encounter orders.

  • Decline: Select if the client declines the medication order. The medication will display as Declined in Patient Chart > Medications > Show All Medications.

  • Prescribe and Print: Select to save the medication to the encounter orders and invoice and print a copy of the prescription label.

Order External Prescriptions in an Encounter

If a medication prescription is fulfilled by an external source (i.e., not at your practice), select the Is External checkbox when ordering a medication in an encounter.

External prescriptions are considered billable items and must be associated with an encounter.

Use the additional notes section to add more information.

  • bloodwork is needed before additional refills

  • the pet parent was given a copy of the prescription

  • name of the pharmacy, and the person calling in the prescription

A flag will appear next to the medication name, denoting it as external, and the medication will show as a line item in the invoice.

If the prescription is a medication carried in the clinic, but the client requests it be filled elsewhere, mark as External and print Rx sheet from Patient Chart > Medications. If the provider has an electronic signature in their account settings, the signature will display on the Rx sheet.

Some state laws require two (2) signature lines for written prescriptions.

In addition to the printed Rx sheet, you must provide a separate prescription written on an Rx pad to send with the client.
